Division: Department of Early Childhood Office: Academics Team: Boston Universal Pre-K (UPK) Reports To: Arlene Sanchez, Boston UPK Enrollment Manager ACADEMIC/NON-ACADEMIC: Non-Academic Job Term: 7/2024- 6/2025; Part Time - Up to 20 hours per week Overview: The BPS Early Childhood Department seeks three qualified fellows who will work collaboratively with BPS Early Childhood UPK staff to coordinate preschool student enrollment operations and perform other general administrative tasks. The role’s primary responsibility is to serve as the primary point of contact to a set number of UPK sites to ensure 100% of UPK seats are filled at the beginning and throughout the academic year. This is a dynamic position collaborating with a diverse array of invested participants and collaborators - in any given work day, the UPK Enrollment Fellows will interact with Boston parents and families, staff from community-based organizations, and administrative staff in BPS/UPK. The UPK Enrollment Fellow will report to the UPK Enrollment Manager, who oversees the program’s enrollment. The position is located at the Bolling Building (BPS Central Office), with the ability to complete tasks on-site and remotely. This is a part-time position ideal for a current undergraduate, graduate, or doctoral student. Ideally, the Fellows will work 20 hours per week throughout the school year. Accommodations for undergraduate, graduate, or doctoral student scheduling will be considered. This position is an intern-level position with no benefits attached. Responsibilities: Work with the UPK Enrollment Manager to operate UPK’s student registration and oversee the implementation of a new enrollment platform, which will house enrollment data for a projected 1,450 students in School Year 2024-2025. Serve as lead liaison with a select number of community-based organizations, partnering with enrollment staff at those organizations to successfully register families. Support the UPK Enrollment Coordinator with ushering applications through the UPK registration process, providing timely follow up to refer families on program waitlists into a UPK seat. Provide technical assistance in implementation of the registration and enrollment platform - process applications, make outreach to families to ensure they’ve uploaded accurate documents, complete verification of students, ensure data accuracy, and withdraw students as necessary. Help families, as needed, to complete the online UPK application. In certain instances, recruit and refer families for specific sites looking to fill an enrollment gap. Provide timely, on-demand phone and email assistance to families calling into the BPS Early Childhood office, helping families navigate the UPK registration process. Support the UPK Enrollment Coordinator with developing summary reports of enrollment data for BPS Early Childhood staff - to be used for funding, evaluation, and progress reports to invested collaborators. Attend at least three weekend and evening promotional events to support the programs’ marketing efforts in the Boston community. Collaborate with UPK administration and BPS Welcome Services on future projects that contribute to the overall success of the UPK program, but still in alignment with enrollment objectives. Perform other general administrative tasks - developing marketing emails, organizing documentation, assisting UPK admin staff other than the UPK Enrollment Manager - as time allots. Qualifications - Required: Must be authorized to work in the United States. Must have a “customer service mentality” with partnering organizations - practicing patience; providing varied levels of assistance depending on need; ensuring follow through. Must be able to speak, read, and write in English at high proficiency. Must balance email with phone call communications to ensure effective outreach to enrollment coordinators across different community-based organizations. Exhibit attention to detail and persistence. Ability to engage effectively with diverse stakeholders - BPS Early Childhood staff, community-based providers, and Boston families. Comfort and patience with providing training and 1-on-1 support. Openness to working in a dynamic team environment in which, sometimes, deadlines must be met in a condensed time frame. Proficiency in Microsoft Suite - notably Excel, Word - and proficiency in Google Suite - notably Google Sheets. Self-directed and comfortable working independently. Systems thinker who can connect daily tasks to larger systemic priorities and future improvements. Qualifications - Preferred: Experience with Excel/Google Sheets Pivot Tables Experience working in an early childhood or family child care setting A degree in Early Childhood or a related field Ability to communicate in multiple languages Knowledge of Boston neighborhoods and its educational landscape Understanding of educational equity and restorative justice theories & practices This is a temporary grant-funded position that will not be guaranteed beyond June 2025.
